Auction benefits EVERY child at Brookwood and it requires EVERY family to contribute to be a success! Our goal this year is to raise $50,000. You can contribute in the following ways:

4) Buy at Auction (online/mobile bidding will be available)

Auction 101

imagesBrookwood’s annual Auction is our main fundraising event, providing resources for PTA’s activities and programming, as well as a major source for contribution to the Brookwood Education Foundation, which funds much needed staff positions not paid for by the school district.

We need your donations! All of the items that are auctioned off are donated by families or through the efforts of families reaching out into the community to solicit donations. Without this, the auction could not raise the money it does.

We need you to attend auction! This makes the event more fun and also generates more revenue. The Auction party is the biggest Brookwood social event of the year.  Auction is not limited to current Brookwood families, so invite your family, your neighbors and your friends!

We are always looking for a few more volunteers. There are all kinds of ways to support the Auction by volunteering, either by taking part in planning, selling tickets, or assisting with the actual event. Please take a look at the list of Auction committees and see what you can do to join the effort.

Community Donations

Unknown-3This committee solicits area businesses to donate items to auction. Each person is assigned a territory based on area geography, online territories and based on relationships committee members may have. This usually begins in July and wraps up October. Corporate Sponsorship (BEF + PTA)

This position is held by one chair who may choose to build a committee. The Corporate Sponsorship chair works closely with BEF to share corporate sponsorship in support of Brookwood events. This includes auction, BEF golf tournament, and other events. Corporate donations can be in the form of (but not limited to): in-kind donations, gift cards, products, merchandise, or service contributions. The Brookwood PTA is a 501c3 organization, so all donations are tax-deductible. Our sponsors are offered special recognition at our events, on signage in front of the school, through our social media and websites and are placed prominently on all auction-related marketing materials.

Classroom Art Projects

This takes a creative person who will coordinate with Mr. Mosher to complete an art project for the students to auction off. Each classroom will complete a piece of art prior to the auction and will be displayed for pre-auction sales.

Family Donations
Family donations is often chaired by 1 person who has three areas to oversee:

Grade Level Auction Parties are held to allow Brookwood families a place to bring their donations for Auction. The parties are hosted by a family or group of families in two groups: K-2 and 3-6 grade levels. These parties often serve as a way for families to meet others at Brookwood in a smaller environment, as well as to educate newer families about auction.

*These parties are not being held for the 2018-2019 year.  Please bring donations to the scheduled drop-off times at school.

The Family Donations chair also coordinates Family Donations drop-off times at school. This is for families that want to bring their donations to school, several after school times are set up (usually on a Friday) to answer questions and accept donations.
The Family Donations chair will input all Family Donations into the computer system to catalog donations and who they are from.

Grade Level Parties

Each grade level will have 3 parties: 1 all-girl party, 1 all-boy party, and 1 co-ed party. This chair finds a host for each party, obtains a description of the party type and sets up the parties’ sign-up for pre-auction sales.

Set Up/Decorations

This is usually comprised of 2 separate chairs: Set-Up is in charge of coordinating all donations with the auction chairs in the 3-4 weeks prior to auction and mapping out the placement of auction items and tables. Set-up also create a visual story-board or item/prop for each donation to visually organize the auction items.

Teacher Donations

This chair communicates with teachers and coordinates their donations. Once donations are in, they are placed out for auction pre-sales.

Auction Item Descriptions

This person will create an original and witty description of each auction item for the bidpal app and auction item description list.

Clean Up

This chair is in charge of getting 4-6 people to sign up for clean up after the auction party.

AUCTION EVENTS:

Presale: Teacher donations, Grade-level parties and Classroom projects are all offered as resale items. They are displayed in the school in the weeks prior to auction to allow families to view the items at pick up and drop off.
Fund-A-Need: Each year, Teddi canvasses the teachers and staff and communicates with the PTA to determine a need to highlight at auction. The money raised for the fund-a-need will be used toward that need.
Silent Auction: These items are placed in to categories and bids are placed via an app on your cell phone. Bedpan will be set up prior to auction and bids will be immediately seen. It will also alert you when you have been outbid.
VIP: These items are specialty items that remain in silent auction but are designated by being placed in the VIP section. These items often are services, parties and higher dollar donations.

Live Auction: These items are auctioned by a professional auctioneer and are often trips, priceless events and experiences or parties.
